Responsible Use of AI

Whisker Architecture uses artificial intelligence (AI) and AI-enabled technology as part of our professional practice.
We use these tools to improve the quality, efficiency and consistency of our work while maintaining human professional judgement, accountability and oversight.
AI supports our architects. It does not replace them.
How we use AI
AI may be used to assist our team with tasks including:
research and information gathering;
drafting, editing and organising written information;
reviewing and checking architectural documentation;
identifying potential inconsistencies, omissions and coordination issues;
project administration and workflow management;
analysing programmes, registers and project information;
assisting with the review of requests for information, variations, extensions of time and other project documentation;
preparing internal checklists, reports and quality assurance material;
data analysis and business administration; and
marketing, communications and content development.
The particular tools and processes used will depend on the project, the information involved and any requirements imposed by our client or contract.
Professional responsibility and human oversight
Whisker Architecture remains responsible for the professional services we provide.
AI-generated or AI-assisted outputs are not treated as authoritative merely because they have been produced by an AI system.
Relevant outputs are reviewed by our team before they are relied upon or issued.
AI does not autonomously make architectural, contractual or other material professional decisions on behalf of Whisker Architecture.
In particular, AI does not independently:
approve or reject variations, extensions of time, progress claims or contractual entitlements;
issue contractual directions;
certify building or construction work;
make statutory or regulatory determinations;
provide final architectural or technical advice; or
replace the professional judgement of the responsible architect or consultant.
Quality assurance
We may use AI as part of our internal quality assurance and document review processes.
This can include assisting our team to review drawings, specifications, consultant information and other project documentation for coordination issues, inconsistencies, omissions or potential non-compliance.
AI-assisted review is an additional checking mechanism. It does not replace our established professional review, coordination or quality assurance responsibilities.
Client and project information
We recognise that architectural projects can involve confidential, commercially sensitive, personal and protected information.
We take reasonable steps to ensure that information is only processed using systems appropriate to the nature of the information and the requirements applying to the project.
Our approach includes:
limiting the information provided to AI systems to what is reasonably required for the relevant task;
using approved AI systems and business technology rather than unapproved public tools for confidential work;
applying appropriate access, privacy and security controls;
avoiding the use of sensitive personal information in AI systems unless its use is necessary, lawful and appropriately authorised; and
complying with project-specific confidentiality, privacy, information-security and contractual requirements.
Where a client, government authority or project contract imposes more restrictive requirements, those requirements take precedence over our general AI practices.
Privacy and sensitive information
We handle personal information in accordance with applicable privacy and data protection requirements.
We aim to minimise the personal information provided to AI systems and do not knowingly use sensitive personal information in AI systems without an appropriate purpose, authority and level of protection.
Where practical, information may be de-identified or reduced before being processed.
Our use of AI should be read together with our Privacy Policy.
Accuracy and reliability
AI systems can produce incorrect, incomplete or misleading information.
We therefore apply professional judgement and appropriate verification to AI-assisted work.
Depending on the task, this may include checking information against original source documents, legislation, codes, standards, manufacturer information, contracts, drawings, consultant documentation or other authoritative sources.
Intellectual property
We respect the intellectual property rights of our clients, consultants and third parties.
We do not knowingly use AI in a manner that would improperly disclose, reproduce or exploit confidential or protected intellectual property.
AI-generated imagery or content will not knowingly be represented as a verified technical documentation or another person's work where that representation would be misleading.
Fair and responsible use
We do not knowingly use AI to:
undertake unlawful activity;
discriminate on the basis of protected attributes;
deliberately create false or misleading information;
impersonate people or create harmful deceptive media;
circumvent professional, statutory or contractual responsibilities;
make significant decisions about individuals without appropriate human involvement; or
use confidential client information for unrelated commercial, marketing or AI-training purposes where that use has not been authorised.
Transparency
We aim to be transparent about material uses of AI where that use is relevant to our clients or required by law, contract or policy.
We do not consider routine uses such as proofreading, formatting, administrative assistance or internal quality checks to require individual disclosure each time they occur.
Where AI has a material role in a service, deliverable or interaction, we will consider whether disclosure is appropriate having regard to the nature of the work and any applicable client requirements.
Review of this policy
AI technology, regulation and professional standards continue to evolve.
Whisker Architecture will review and update our approach as our technology, services, legal obligations and client requirements change.
